ISTA Personnel Solutions Seeks CRM Automation & Workflow Specialist for U.S. Client

The company’s U.S. client is seeking a highly skilled CRM (HubSpot) Automation & Project Workflow Specialist to support an international client team based in the United States.
The selected professional will be responsible for designing, managing, and optimizing automations and workflows within HubSpot and its integrated platforms. The primary focus is on operational and process automation rather than marketing activities.
This role requires collaborating closely with the client’s team to understand existing processes and translate them into structured, automated workflows that connect CRM data, third-party applications, and project management tools.
Initial responsibilities will involve implementing simple to mid-level workflows, including task automation, notifications, and data updates. Over time, the role may expand to more complex projects, such as API integrations, custom workflows, and cross-platform automation solutions.
Core Responsibilities
- Develop and maintain automations within HubSpot and associated platforms.
- Integrate HubSpot with third-party applications using tools such as Zapier, Make (Integromat), or APIs.
- Design and manage task and project workflows in platforms like Monday.com, ClickUp, Asana, or similar tools.
- Analyze, document, and translate business processes into structured automation logic.
- Ensure data accuracy, consistency, and seamless flow across all integrated systems.
- Test, troubleshoot, and optimize workflows to maximize operational efficiency.
- Collaborate remotely with the U.S.-based team and provide proactive recommendations for process improvements.
Skills & Requirements
- Proficient with HubSpot, Salesforce, Zoho CRM, Pipedrive, or other similar CRM platforms.
- Experienced with automation tools, including Zapier, Make (Integromat), or native system integrations.
- Skilled in using project management platforms such as Monday.com, Asana, ClickUp, or Trello.
- Strong logical reasoning with a clear understanding of if/then workflow logic.
- Analytical, detail-oriented, and solution-focused mindset.
- Excellent written and verbal communication skills in English.
- Comfortable working independently while managing multiple projects simultaneously.
Additional Information
- Working Hours: The role requires working Eastern Standard Time (EST) hours, Monday to Friday, from 9:00 AM to 6:00 PM EST (3:00 PM to midnight South African time), with adjustments as needed for U.S. daylight saving changes.
- Public Holidays: The candidate will be expected to work on both South African and U.S. public holidays, with compensation for South African public holidays in accordance with the BCEA.
- Internet Requirements: A fixed fibre internet connection with a minimum speed of 25 Mbps (upload and download) and support for a wired Ethernet connection is mandatory. Applicants without a fixed fibre connection will not be considered.
- Power Backup: A reliable power backup system is required to manage load shedding and power outages. Applicants without a power backup will not be considered.
- Work Environment: This is a fully remote position.
