Job Overview

A U.S.-based professional services firm operating within the legal industry is seeking a skilled CRM Specialist (HubSpot) to join its team. This is a full-time remote position, ideally suited for an individual who excels in optimising marketing and sales processes, enjoys working with data-driven systems, and possesses a strong background in HubSpot CRM management and marketing operations.

Core Responsibilities

  • Configuring and maintaining HubSpot to guarantee accurate capture and tracking of all inbound leads.
  • Managing integrations between HubSpot and external platforms such as advertising, analytics, and other software tools to ensure complete end-to-end tracking.
  • Designing, testing, and refining automated workflows for lead nurturing, follow-ups, and client communications to deliver timely and relevant engagement.
  • Developing and enhancing a lead scoring model to prioritise prospects effectively for intake and sales teams.
  • Ensuring all HubSpot records remain clean, deduplicated, and current for consistent and reliable reporting.
  • Monitoring each stage of the sales funnel—from inquiry to consultation to signed case—to identify inefficiencies and areas of lead loss.
  • Promptly diagnosing and resolving CRM or automation issues to prevent lead leakage and maintain data accuracy.
  • Producing clear, data-driven dashboards that provide leadership with insights into CAC, conversion rates, lead volume, and overall performance.
  • Translating performance metrics into actionable insights and regular reports.
  • Recommending improvements based on data trends to enhance funnel efficiency and conversion rates.
  • Continuously improving CRM systems and processes to maximise operational efficiency and effectiveness.
  • Collaborating with sales and marketing leadership to align workflows with broader operational objectives.
  • Identifying and implementing system upgrades that increase automation and reduce manual workload.
  • Training team members on HubSpot functionalities and offering ongoing support to enhance adoption and understanding of technical processes.
  • Ensuring all CRM operations adhere to relevant data privacy regulations and the firm’s internal policies.
  • Contributing to the creation and refinement of standard operating procedures (SOPs) related to marketing operations and HubSpot usage.
  • Performing additional duties as required to support the firm’s overall marketing and sales initiatives.

Skills & Requirements

Required Qualifications:

  • bachelor’s degree in Marketing, Business, Data Analytics, or a related discipline, or equivalent relevant work experience.
  • A minimum of three years’ experience in HubSpot administration and configuration.
  • Demonstrated expertise in CRM data migration and system integrations.
  • Strong proficiency in API integrations and the creation of automation workflows.
  • Advanced skills in Excel or Google Sheets for data analysis and manipulation.
  • Solid understanding of sales funnel management and lead scoring methodologies.
  • Excellent command of written and verbal English communication.

Preferred Qualifications:

  • HubSpot certification(s) demonstrating advanced platform knowledge.
  • Experience with other CRM platforms (advantageous but not essential).
