Key Responsibilities:

  • Oversees and guides the full scope of HubSpot CRM and automation implementation projects from initial client engagement to final handover.
  • Develops structured timelines and sprint schedules, factoring in project goals, resource capacity, and client expectations.
  • Facilitates weekly planning and retrospective sessions with cross-functional team members such as consultants, engineers, and implementation specialists, ensuring alignment and addressing any project risks proactively.
  • Acts as the main liaison for client communication regarding project coordination, clearly defining responsibilities, timelines, and progress updates.
  • Maintains comprehensive records and documentation in platforms like Teamwork, covering project plans, meeting summaries, ongoing status reports, and any client-requested changes.
  • Tracks deliverables to ensure they remain within the agreed scope and identifies when there’s potential for scope expansion or new statements of work.
  • Collaborates closely with the strategy and engineering teams to assist in timeline development, task prioritisation, and project phase planning.
  • Represents delivery priorities by advocating for staffing adjustments in response to shifting timelines or client urgency.
  • Serves as the initial escalation point for any delivery or communication issues affecting either internal teams or clients.
  • Coordinates tasks across departments, ensuring seamless progress and timely execution of interdependent activities.
  • Produces regular internal reports detailing project health, resourcing updates, and progress toward financial goals.

Skills & Requirements

  • Brings 3+ years of hands-on project management experience within SaaS, digital marketing, or tech consulting environments.
  • Has a solid background in delivering complex, milestone-driven projects that require collaboration across diverse teams.
  • Experienced with agile frameworks (e.g., Scrum), including running sprints and team retrospectives.
  • Highly organised and efficient in managing several parallel projects without compromising on detail or deadlines.
  • Strong communicator, capable of handling client interactions and ensuring stakeholder alignment.
  • Skilled at managing upward and across functions, while confidently holding both internal and external partners accountable.
  • Able to recognise project risks early, pivot when needed, and maintain consistent progress in dynamic work settings.
  • Proficient in digital project tools—Teamwork is ideal, though familiarity with platforms like Jira, Asana, or Smartsheet is also valuable.
  • Strategically minded, with the ability to anticipate challenges and optimise project workflows for long-term success.
  • Prior experience leading digital system or software implementations.
  • Familiarity with HubSpot or other CRM platforms, including third-party integrations

Required Experience:

  • A minimum of 3 years’ experience managing projects within a SaaS environment or digital agency setting.
  • At least 3 years of demonstrated success leading strategic initiatives involving collaboration across multiple departments or stakeholder groups.
